I. Hearing Schedule
A. Uniform Motion Calendar (UMC):
Monday through Thursday: 8:45 a.m. – 9:30 a.m. (first come, first served—please sign in with the courtroom deputy). Scheduling is between the parties. The Court does not keep a docket and there is no need to advise of cancellations.
Judge Sasser will review all motions scheduled for UMC prior to the hearing. Accordingly, please send a courtesy copy of the motion and notice of hearing for all UMC matters to Judge Sasser's office via email to CAD-DivisionAI-UMC@pbcgov.org. Please send the motion and notice of hearing for each case in a separate email. Moreover, please make sure to comply with the five (5) day notice requirement per the local rules on all UMC matters. Pro se litigants may provide courtesy copies of their UMC motions and notices of hearing to the Court via regular mail or email. Counsel should also bring a copy of the motion and notice of hearing to the UMC hearing. Upon conclusion of the hearing, please submit the Order to the Court through the JVS System. Judge Sasser will approve the Orders, they will be e-filed in the State portal and emailed to all counsel and parties. Please make sure all proposed Orders list the email addresses of all counsel and all parties.
Telephone attendance at UMC hearings: Appearance by telephone is permitted. However, at least one party must appear in person to sign in. The attorney/party appearing by phone should provide opposing counsel/party the number at which he or she may receive a telephone call from the judge at the time of the hearing and opposing counsel shall provide same to the courtroom deputy when signing in. Do not call the JA with the number. The judge will then call the attorney when that case is called up for hearing. Telephone hearings are called last on the calendar.
B. Specially Set Hearings:
Monday through Thursday: 8:30 am-8:45 am, 9:30 am-10:00 am, 4:30 p.m.-5:15 p.m. https://e-services.co.palm-beach.fl.us/scheduling/.
Special Set Hearings must be set via the Division AI online calendar. Hearing times are available in blocks of 15, 30, and 45 minutes. Prior to scheduling a special set hearing online, you must 1) clear the hearing date and time with ALL parties, and 2) have previously filed your Motion with the Clerk's office. Failure to comply with these procedures will result in cancellation of your hearing by the Court.
All Specially Set Motions must be set by Court Order and cannot be canceled except by further Court Order, see (Division AI Standing Order on Specially Set Motions ). If the hearing is evidentiary, that must be noted on the proposed Order on Special Set Hearing.
Upon receipt of an online special set hearing date, please submit your Order on Special Set Hearing to Division AI via the JVS System. Thereafter, the Judicial Assistant will e-serve the Order through the State Portal to all counsel and parties of record.
Alternatively, pro se parties may contact Judicial Assistant Michelle Smith to schedule a special set hearing by telephone at 561-355-2698.
Judge Sasser will review all motions, memoranda of law, and case authority in advance of all special set hearings. Accordingly, all counsel should provide courtesy copies of their special set motions and memoranda of law to the Court via the E-Courtesy System, Email or Shared Dropbox.
Telephone appearance at Special Set hearings is permitted. Please follow the instructions for telephonic UMC hearings listed above.
C. Emergency Motions:
Courtesy copies of Emergency Motions should be emailed to the Court. Judge Sasser will review the Emergency Motion and email any Order(s) on the Emergency Motion to all counsel of record. Please note that you must still file e-file the Emergency Motion with the Clerk.
Counsel and all pro se parties should email all proposed Orders in Word format, including all Agreed Orders and all Ex-parte Orders to the Court via the JVS System. Please list all email addresses of all counsel and parties on the proposed Orders and include a cover letter referencing the date of the hearing and whether opposing counsel has reviewed and approved the form of the proposed Order.
